🏫 New Resource – Classroom

How to add a New Resource "classroom" into the XO System

Updated over 3 months ago

In this guide, you’ll learn how to add a new classroom as a resource into the XO system.

🌟

Classrooms are essential training resources for briefings, debriefings, and ground training. Adding them correctly ensures the system can schedule them reliably.

The process is very similar to adding an Instructor, so if you haven’t yet, we recommend reviewing New Resource – Instructor first. This guide focuses on the specific fields and steps unique to Classrooms.

πŸ› οΈ Step-by-Step Guide

Below is a step-by-step guide using the example of adding a Classroom.

πŸ“Έ Disclaimer: Screenshots and videos may look slightly different from your XO Scheduler interface depending on your version or configuration.

1) Start the creation process

  1. Right-click in the Resources area.

  2. Select Create Resource.

2) Choose the resource type

  • From the list, select Classroom.

Note: You can manage or create new resource types if needed (explained in a separate tutorial). Manage Properties

3) Open the resource form

  • Click to open the Classroom resource input form.

4) Fill in resource details

Mandatory fields (marked with *) usually include:

  • ID (must be unique)

  • Name

  • Location

  • Cost per Hour

πŸ’° A Note About Costs
The Cost per Hour field helps the system calculate and compare resources when optimizing schedules.

  • If unsure, use a standard placeholder (e.g., 100) to give the system a baseline.

  • You can always adjust this value later.

5) Leave SIM Slots and Work Rules empty

  • Classrooms do not require SIM Slots or Work Rules.

  • Leaving these blank means classrooms are available 24/7 unless restricted by location or qualifications.

6) Save the resource

  • Click Save.

  • The new Classroom appears at the top of the list, regardless of filters.

βœ… Important: After creating the Classroom, assign it a Qualification (e.g., General Classroom) so XO Scheduler can automatically allocate it to training events. Learn more in Qualifying Resources.

πŸ’‘ Pro Tips

  • Be consistent with IDs and names: Use a naming scheme like CR-001, Briefing Room 1.

  • Set Costs early: Even if approximate, it improves scheduling efficiency.

  • Always qualify classrooms: Without qualifications, they won’t be scheduled.

πŸ“Œ Wrapping Up

Adding a Classroom is simple and similar to adding an Instructor, with the key differences being no SIM Slots or Work Rules. Once created, don’t forget to assign Qualifications so they can be scheduled correctly.

Next, continue by setting up your Simulators or use Excel Import if you need to onboard multiple resources at once.
